Use this tool honestly: a payment receipt is evidence that money was actually paid. Only issue a receipt for an amount you really received, on the date you received it. Making receipts for payments that never happened, or changing amounts and dates to claim reimbursement, a tax deduction or a refund, is fraud and can lead to penalties or prosecution.
Every time someone hands you money, whether it is rent, a tuition fee, an advance for a job, a deposit or a donation, they will usually ask for a receipt. A proper payment receipt protects both sides. The payer has proof that they paid, and you have a record of what you received, when and for what.
This page gives you the standard money receipt format used in India and a generator that fills it in for you. Enter who paid, how much, for what and by which mode, check the live preview, and download a clean PDF ready to sign and hand over. The amount is printed in figures and in words, the receipt number and date sit where people expect them, and the layout stays the same every time.
If you prefer to keep a receipt book on your computer, you can also download the same payment receipt format in Word and Excel below, free and without signing in.
A payment receipt is a written acknowledgement, signed by the person or business that received money, confirming that a specific amount was paid by a specific person on a specific date for a specific purpose. You will hear it called a money receipt, a cash receipt or an acknowledgement receipt. They all describe the same document.
Receipts are used by landlords, tutors and coaching classes, freelancers, contractors, small shops, housing societies, clubs, trusts and individuals selling something privately. A receipt is often the only paper trail for a cash payment, which is why it matters that it is complete and legible.
People often use these words interchangeably, but they mean different things, and using the right document avoids confusion with customers and with the tax department.
A request for payment issued before or at the time of sale. It lists what was supplied, the price and taxes, and the amount due. A GST-registered business must issue a tax invoice for taxable supplies.
A statement of the amount payable, common in shops and restaurants. In everyday use a bill and an invoice are close; a bill is usually the simpler, retail version.
Proof that payment has been received. It is issued after the money arrives and confirms the amount, the date, the mode and the purpose. It does not replace a tax invoice.
A complete payment receipt format answers who paid whom, how much, when, how and why. Make sure yours includes:
Here is a simple money receipt format written out in full. The names and numbers are placeholders; replace them with the real details of the payment.
For a cash receipt, write Cash as the payment mode and leave the reference blank. For a cheque, note the cheque number, date and bank, and add "subject to realisation" until the cheque clears.
Under the Indian Stamp Act, a receipt acknowledging an amount of more than Rs 5,000 generally needs a Re 1 revenue stamp. The person receiving the money signs across the stamp so it cannot be reused. You will see this most often on rent receipts and cash receipts handed over for reimbursement.
Stamp duty is a state subject and some states have their own stamp acts, and certain receipts are exempt. If you issue large receipts regularly, check the rule that applies in your state. Our generator lets you upload a signature; for amounts above Rs 5,000 you can print the PDF, fix the revenue stamp and sign across it.
The cash receipt format is used when money is paid in notes. Because there is no bank trail, the receipt is the main proof of payment, so the amount in words, the date and a clear signature matter most.
Issued when a customer pays part of the price before work starts or goods are delivered. Mention the total agreed, the advance received and the balance due. GST-registered businesses must issue a receipt voucher for advances where GST rules require it.
Common in property and vehicle deals, where the buyer pays a small amount to hold the deal. Describe the property or vehicle, the agreed price, the token amount and what happens to the token if the deal falls through.
Issued by trusts, NGOs, temples and societies. Show the organisation's PAN and, if approved, its 80G registration number. Donors need a Form 10BE certificate from the trust to claim the deduction, and cash donations above Rs 2,000 are not deductible.
For security deposits on rentals, equipment or memberships. Say clearly that the amount is refundable and on what conditions, so there is no dispute later.
When a dues amount is paid in instalments, each receipt should show the amount received now, the total paid so far and the balance outstanding.
A receipt records a cash payment, but it does not make every cash payment allowed. Section 269ST of the Income-tax Act, 1961 bars any person from receiving Rs 2 lakh or more in cash from one person in a single day, for a single transaction, or for transactions relating to one event or occasion. The penalty can equal the amount received. The Income-tax Act, 2025 replaces the 1961 Act from 1 April 2026 with new section numbers, so check the current reference if you cite it.
Businesses also face limits on claiming cash expenses as deductions, and cash donations above Rs 2,000 do not qualify under 80G. For larger amounts, UPI, bank transfer or cheque is safer for both sides, and the transaction reference on the receipt makes it easy to verify.
Prefer to fill receipts on your own computer? Download the payment receipt format below. Both files are free, need no login, and follow the same layout as the sample above. The Word file suits one-off receipts; the Excel file is handy if you keep a running receipt register.
Templates are easy to start with but easy to get wrong over time: numbers repeat, the amount in words does not match the figures, or an old date stays in the file. The online generator above avoids those mistakes and gives you a consistent PDF every time.
Need something more specific? Use the rent receipt format for HRA claims, the GST invoice format for taxable sales, the general bill generator for simple cash memos, or the salary slip generator for staff payments.
A money receipt format is a standard layout for acknowledging that you received money from someone. It carries a receipt number and date, the name of the person who paid, the amount in figures and in words, what the payment was for, how it was paid, and the signature of the person who received it.
A payment receipt is the general term and covers any mode of payment, such as UPI, bank transfer, cheque or card. A cash receipt is a payment receipt where the money was paid in cash. The format is the same; a cash receipt simply shows Cash as the payment mode and has no transaction reference.
Under the Indian Stamp Act, a receipt for an amount above Rs 5,000 generally needs a Re 1 revenue stamp, signed across by the person receiving the money. Some states have their own stamp laws and there are exemptions, so check the rule for your state if you issue many large receipts.
Yes. This page has a free payment receipt format in Word (.docx) and Excel (.xlsx) that you can download without signing in. If you would rather not fix alignment and amount in words by hand, fill in the online form above and download a print-ready PDF.
Section 269ST of the Income-tax Act, 1961 bars receiving Rs 2 lakh or more in cash from one person in a single day, for a single transaction, or for transactions relating to one event or occasion. A receipt does not make such a payment legal; take larger amounts through a bank channel. Section numbers are being renumbered under the Income-tax Act, 2025, so check the current reference.
A donation receipt should show the organisation's name, address and PAN, the donor's name and address, the amount, the date, the payment mode and a receipt number. If the organisation is approved under Section 80G, it should also show its 80G registration number. For the donor's tax deduction, the trust must also file Form 10BD and issue Form 10BE, and cash donations above Rs 2,000 do not qualify for the 80G deduction.
New users can create their first bill free, and you get 10 free credits when you sign up. Each receipt uses 10 credits, and you can buy more credits from the payment page. You can fill the form and see the live preview before you spend any credits. The Word and Excel formats on this page are free downloads.
No. A payment receipt only proves that money changed hands. If you are registered under GST and you sell goods or services, you still need to issue a tax invoice, and a receipt voucher when you take an advance. Use our GST invoice generator for the invoice and this tool for simple payment acknowledgements.
